ESSENTIAL INFO INCLUDING TERMS & CONDITIONS

TICKETS, PASSES & CAMPING:

● Crew should not arrive on the Thursday of the event, except by special prior arrangement.
● Crew dog tickets are strictly limited and allocated in advance. Dogs without tickets must not be brought to the festival.
● Crew children are not permitted on site before Tuesday, except by special prior arrangement. Children must be very closely supervised by a responsible adult during the build period.
● Crew children must also be supervised by a responsible adult during the festival – there are no childminding services.
● All crew vehicles must have the appropriate vehicle pass (stuck to the inside of the windscreen), and park where designated for the area or service – if unsure, consult your coordinator before parking up.
●Those with tents must camp in the area allocated by their coordinator.
● Crew tickets may not be sold. Crew tickets may not be exchanged except by arrangement with the relevant coordinator.
● Crew may not go outside the site boundaries except on public footpaths and roads. Access to the racecourse premises is only on specific event business.
● Site owners and Green Gathering accept no responsibility for personal property; please take care of your belongings (there will be a secure lock-up for performers at Artist Liaison).
●Crew must comply with campfire & cooking guidelines:
1. Keep fires well away from tents and don’t leave them unattended.
2. Any fire must be raised off the ground and contained in a sturdy brazier on a heat-proof base.
3. Only use as much wood as you need for a small campfire. No bonfires!
4. Don’t use rotting wood that might be a wildlife habitat. And don’t damage the trees; fresh wood won’t burn, anyway.
5. Don’t bring or use disposable bbqs for safety and environmental reasons.
6. Camping gas appliances must comply with safety instructions and be used responsibly.
7. Do not use charcoal stoves or BBQs to heat any indoor space.

CONTRABAND – THE FOLLOWING WILL NOT BE ALLOWED ON SITE:

● Unauthorised sound systems.
● Generators (petrol, diesel, biodiesel or gas).
● Laser devices, fireworks, nitrous oxide canisters, airborne lanterns, aerial drones, disposable bbqs.
● Unauthorised alcohol sales; only alcohol for personal consumption may be brought onto site.
● Unauthorised trading; contact markets@greengathering.org.uk for authorisation.
● Unauthorised use of recording equipment for professional or profit-making purposes.

ANTI-SOCIAL BEHAVIOUR & EVICTION:

● You must read and comply with GG Policies (see below) on safety, equality, ethics and the environment.
● We have the right to confiscate generators, sound systems, excessive quantities of alcohol, illegal drugs and other banned articles. Return of these articles after the event is at Directors’ discretion.
● Tickets are issued subject to T&Cs, individual contracts and Green Gathering Policies. Breach of any of these, or behaviour likely to cause damage, nuisance or injury, entitles the management to refuse entry or eject you (and vehicle).
● Any parent or guardian of a minor, reasonably suspected of committing or planning to commit an act of crime or anti-social behaviour, may be evicted along with those in their care.

PROTECTION OF INFORMATION & RECORDINGS:

● For the purposes of administration, OTP may hold and process personal data of crew relevant to roles, and to enable us to answer questions relating to your work. Under data protection regulation this is ‘legitimate interest’. Every care is taken to ensure that this personal data is held in confidence. You have the right to inspect and review the data held.

● Green Gathering attendees may be filmed and sound recorded as participants in the event and these films and recordings may appear publicly and be distributed and published within the public domain. You have the right to ask accredited GG photographers/videographers not to photograph, film or record you; and the right to ask them to delete pictures, film or recordings they have taken of you. You may contact news@greengathering.org.uk to ask us to remove recordings, photos or film that identify you from our files and online media & we will do our best to ensure this happens.

All information acquired by you regarding the production of the event shall be considered confidential unless otherwise agreed. Any such information remains the property of OTP CIC, the festival's production company.

covid & OTHER INFECTIOUS DISEASES

If you have symptoms associated with covid or other easily transmissible infectious disease (eg measles, norovirus, flu) in the days before you are due to arrive, or while you are at the festival, we ask you to seek medical advice (from our GG medical team if you are already on site), and if possible to isolate until you test negative or symptoms have completely gone, to avoid transmitting infection across the festival.

If isolation is not possible, please avoid crowded places and ramp up the hand hygiene, dispose carefully of tissues etc.

We ask this to reduce the risk to the most vulnerable in our community, as well as to ensure we have sufficient healthy crew to run the festival safely.

GG HEALTH AND SAFETY

● All contractors and volunteers shall attend operational and/or safety briefings as requested, and undertake to work according to Health and Safety legislation and guidance, and to apply established safe working practices.
● Contractors and volunteers shall accept responsibility for their own behaviour with regard to the implementation of all safety practices and undertake, where appropriate, to be familiar with all event safety documents and contingency plans.
● Contractors will supply their own Personal Protection Equipment where required. Volunteers will be supplied with Personal Protection Equipment where required.
● Working whilst under the influence of alcohol or drugs could be dangerous and may constitute grounds for being asked to leave your post / leave site / forfeit any fee.
● Smoking regulations for places of work will apply in all enclosed spaces on the site.

GG EQUAL OPPORTUNITIES AND SAFER SPACES

● All GG crew – including volunteers, contractors and OTP directors – undertake to create a safe and respectful environment for working, networking and social activities related to The Green Gathering.
● Prejudice or negative discrimination based on ethnicity, nationality, age, gender, sexuality, gender presentation, ability/disability, class or religious affiliation will not be accepted during Green Gathering meetings or event production. (Gender critical beliefs are permitted; hostility to trans, non-binary or intersex people is not.)
● GG meetings and events aim to be as accessible as possible, bearing in mind constraints of terrain and cost.
● GG crew are expected to avoid making unwelcome physical contact; physical, verbal or online abuse, intimidation or harassment; and/or unverified accusations, assumptions, slander etc against other members of the GG community or public while working for the Gathering and in Green Gathering spaces (meetings, event sites, online).
● GG is a signatory to the Association of Independent Festivals Safer Space Initiative and has zero tolerance for sexual assault, defined as ‘any unwanted sexual act or activity’. We promote consent, have a survivor-led approach and provide support services on site at our Welfare tent.

GG ETHICAL AND ENVIRONMENTAL POLICY

● All contractors, volunteers and OTP directors undertake to respect people, animals and the environment in the production of the Green Gathering event.
● Waste, destruction, pollution, fossil fuel use and feeding corporate profits are to be minimised in the production of the Green Gathering event.
● All activities undertaken by The Green Gathering – the charity and its trading arm OTP CIC – aim to promote environmental sustainability, ecological awareness, biodiversity, human rights and appropriate education, technology and communication.
